I HAVE WITH ME TODAY MR. JIMMY HENRY.

HE IS, UM, LET ME THINK WHAT HIS TITLE IS NOW.

ASSISTANT DIVISION ADMINISTRATOR AND HE IS OVER OUR TECHNOLOGY DIVISION.

AND SO FOR THE LAST THREE YEARS, THE OFFICE OF STATE EXAMINER HAS BEEN WORKING ON CREATING AN ONLINE PERSONNEL ACTION SYSTEM.

SO WE HAVE OFFICIALLY LAUNCHED THAT SYSTEM.

WE ARE ROLLING DEPARTMENTS ON SLOWLY.

UM, SO SO FAR WE HAVE HAMMOND, ST.

GEORGE DENTAL SPRINGS, CENTRAL ZACHARY'S COMING ON NEXT.

AND THEN BATON ROUGE IS SCHEDULED TO COME ON THE WEEK OF AUGUST 2ND.

UM, AND SO IN ORDER FOR US TO DO THAT, WE'RE GOING TO HAVE TO GET SPECIFIC INFORMATION FROM Y'ALL.

AND THEN IN ADDITION TO THAT, WE ARE GOING TO HAVE TO HAVE A MEETING WITH THE CHIEFS AND WHOEVER THEIR DEPARTMENT USERS ARE GONNA BE THE SECRETARY OF THE BOARD.

AND THEN WE ASK THAT THE CHAIRMAN AND THE VICE CHAIR OF THE BOARD, UM, PARTICIPATE IN THIS MEETING.

SO EACH DEPARTMENT GETS A LIMITED NUMBER OF LICENSINGS LICENSE AND WHAT WILL HAPPEN AND HOW THE SYSTEM OPERATES IS THE DEPARTMENTAL USER WILL ENTER THE INFORMATION IN AND THEN IT WILL MOVE THROUGH THE QUEUE TO THE CHIEF'S APPROVAL.

ONCE THE CHIEF APPROVES IT, THAT MAKES

THE RECORD IN THE DATABASE, UM, EFFECTIVE ON THE EFFECTIVE DATE OF ACTION, IT THEN GOES TO THE APPOINTING AUTHORITY.

IF THE CHIEF IS THE APPOINTING AUTHORITY, THEN IT MOVES TO THE BOARD'S SECRETARY.

THE BOARD SECRETARY WILL THEN SET THE, UM, ITEMS FOR YOUR MEETING.

AND ONCE THAT'S DONE, THEN THE CHAIRMAN AND THE VICE CHAIR WILL BE ABLE TO SEE THE DOCUMENTS.

UM, AND SO I DID BRING JIMMY WITH ME SO HE CAN TELL Y'ALL EXACTLY WHAT IT IS AND THE INFORMATION THAT HE'S GONNA NEED AND HOW HE, UM, WILL MOVE FORWARD WITH THIS.

UH, EACH DEPARTMENT, UH, HAS THREE ROLES THAT ARE ASSIGNED TO THEM.

THERE'S A DEPARTMENT USER, SO THAT WOULD BE SOMEONE WHO WILL BE ENTERING THE PFS.

SO EACH DEPARTMENT NEEDS TO DECIDE WHO THAT PERSON WOULD BE.

UH, YOU HAVE A DEPARTMENT CHIEF LEVEL, UH, USER ROLE.

SO, UH, YOU KNOW, IDEALLY IT WAS DESIGNED SO THAT THE CHIEF WOULD BE THE ONE WHO HAS ACCESS TO IT.

BUT IN LARGER DEPARTMENTS, WE UNDERSTAND THE NEED FOR FLEXIBILITY.

SO, UH, THE CHIEF WILL THEN DECIDE, UH, WHO WILL, UH, SIGN IN HIS NAME OR HER NAME, UH, AND THEN, UH, THE APPOINTING AUTHORITY LEVEL FOR THE DEPARTMENT.

SO, UH, THAT ALSO CAN BE, UH, DESIGNATED OUT AS WELL.

WE HAVE FORMS FOR THOSE AND WE'LL, UH, SEND THOSE OUT SOMETIME IN THE NEXT COUPLE WEEKS, UH, TO, UH, ALL THE IMPORTANT PARTIES, UH, KIND OF HELP YOU MAKE THOSE DECISIONS.

SO IF THE DEPARTMENT OR USER PUTS SOME INFORMATION IN AND, UM, IT IS IN VIOLATION OF THE LAW, WHEN THE CHIEF RECEIVES HIS OR HER, UM, ABILITY TO SEE IT, THE SYSTEM WILL HAVE A FLAG ON IT, RIGHT? TO SAY, HEY, THIS MAY BE A PROBLEM.

YOU NEED TO MAKE SURE IT'S IN CONFORMITY TO, WITH THE LAW.

ONCE THE CHIEF APPROVES IT, THE OFFICE OF THE STATE EXAMINER WILL BE ABLE TO SEE IT.

AND IF WE FEEL THERE NEEDS TO BE A COMMENT ON THE RECORD, THEN WE WILL BE ABLE TO COMMENT ON THE RECORD AND THEN THE SYSTEM FOR THE PEOPLE THAT HAVE USER ACCESS TO IT, THERE'LL BE A LITTLE MICROPHONE.

AND SO THE LITTLE MICROPHONE WILL SAY, HEY, THAT, THAT WILL INDICATE THAT THE OSE HAS COMMENTED ON THIS PARTICULAR ACTION THAT MAYBE YOU WANNA TAKE A LITTLE CLOSER LOOK AT IT.
